A good VoIP project should consider phones, call flow, cabling, bandwidth, failover, user training, and support ownership before the cutover.

Start with the way calls actually move through the business
Before choosing phones or a provider, document how calls should flow. This keeps the project focused on operations instead of features that sound useful but never get used.
- Main number routing. Decide who answers first, what happens after hours, and where missed calls should go.
- Departments and roles. Map sales, service, billing, support, dispatch, leadership, and shared lines before building menus.
- Remote and mobile users. Plan whether employees need desk phones, softphones, mobile apps, voicemail-to-email, or shared call queues.
